Q Score Summary

Inspired by the CQC lines of enquiry and ratings, this report helps you evidence your performance based on data from Birdie and your rostering system. Review this report monthly to track your Q Score, identify areas for improvement, and create actionable steps. It's also a great asset to showcase during inspections.

Monthly Active Clients

Get a quick snapshot of your business growth with this high-level report. It shows how many clients you have compared to previous months, including new packages, existing packages, and lost packages. Use this to keep an eye on the balance between new and lost packages, ensuring your agency is on a healthy growth trajectory.

Client Details

This report provides a comprehensive overview of your clients' demographic details, including date of birth, gender, and address. It also indicates whether they are receiving regulated care, their assigned groups, and service start date. Use this to quickly review client information and identify where additional data might be needed.

Care Circle Members

Gain insights into family engagement with this report. It shows the total number of clients with family members actively using the Family App, the number of invited family members, and the percentage of family members who have logged in. This helps you understand and improve family involvement in care.

Client Risk Level Changes

Stay on top of changing client needs with this report. It shows when a client's risk level has changed, who made the change, and the reason behind it. Use this to identify clients whose care plans may need updating to match their current risk level.

Client Waterlow Score Changes

This report tracks changes in clients' Waterlow scores, which are crucial for assessing pressure ulcer risk. Use it to quickly review changes in a client's Waterlow score and support the timely updating of their risk status and care plan.

Completed Visit Reports

Track the efficiency of your care delivery with this report. It shows the total number of reports completed on Birdie in recent months and compares scheduled calls to actually completed ones. Use this to ensure no visits are missed and to set up alerts if the percentage of completed calls drops below a certain threshold.

Visit Punctuality and Fulfilment

This carer audit report helps you monitor if calls are starting and ending on time. Drill down per client and per carer to identify patterns. Use it to recognise consistently punctual carers and address any recurring issues with timing or duration of calls.

Care Tasks Completed

Evidence safe and effective care delivery with this report. It shows the total tasks completed in recent months and compares scheduled tasks to those actually completed on Birdie. This demonstrates that carers are providing all necessary care or at least being prompted to do so.

Medication Tasks Completed

Ensure medication safety with this comprehensive report. It shows how many total medications were recorded on Birdie and the percentage of scheduled medications that were completed. It also highlights the percentage of clients with more than 90% of their medication recorded, helping you maintain high standards of medication management.

Hours Delivered

Monitor your care delivery volume with this report. It shows the total hours of care delivered per month and compares it to the expected scheduled hours. Use this as a growth tool and set alerts to ensure your delivered hours aren't exceptionally over or under the scheduled hours.

Observations and Visit Notes

Demonstrate person-centred, holistic care with this report. It shows the number of observations carers record per call (food, mood, drinks, etc.) and how many recorded visits have notes written by carers. This proves that carers are not only completing tasks but also logging extra notes and observations to make each call unique and comprehensive.

Secure Check-in/Out Success

This monthly report shows the percentage of calls with secure check-ins/outs and the number of total forced check-ins/outs. Set up alerts if this number increases and drill down to see if certain clients or carers are causing forced alerts, potentially due to bad signal areas or location issues.

Individuals with Reported Visits

Track growth in the number of clients and carers on visits with this monthly report. It shows the number of clients receiving visits and carers reporting visits, allowing you to compare to the previous 6 months.

Longer Visits & Consistent Care

This report shows the percentage of calls longer than 45 minutes and the percentage of clients seen by a maximum of 6 carers per month. Use this to evidence business growth through longer calls and demonstrate caring and safe care through consistent carer assignments.

Alerts Raised and Resolved

Monitor your responsiveness with this report. It shows the total number of alerts raised, how quickly they are qualified (status changed), and what percentage of alerts are resolved within 24 hours. Use this to evidence your quick response to issues and identify which clients or carers may need additional attention.

Care Planning

Evaluate your office team's performance with this report. It shows how many tasks they have added per client, how many notes they add per task, and how often they update this information. Use it to evidence effective, person-centred, and responsive care planning.

Assessments

This report shows the percentage of clients with up-to-date assessments based on a selected timeframe (30, 90, or 180 days). It also shows the number of clients with outdated assessments and a breakdown of initial and additional assessments completed for each client. Use this to ensure your assessments are current and to prioritise updates.

Medical History

Get an overview of your clients' medical conditions with this report. Select a medical condition to see the number of clients with this history and a list of their names. Use this to identify trends in medical histories and match appropriately trained carers to clients.

Actions

This report shows the status and assignee of actions raised in the agency hub, including the care recipient's name and the due date of the action. Use this for an immediate overview of pending actions and their deadlines.

Visit Logs

This comprehensive report shows all scheduled calls with their planned check-in/out time and duration, as well as the actual call times. Many agencies schedule this report to be sent to their local authority to demonstrate compliance.

Medication Task Logs

Get a detailed view of medication management with this report. It lists all medications on Birdie and their outcomes, showing the client, carer, time of outcome vs. scheduled, and whether it's self-administered or not. Use this to spot any non-recorded medications and ensure all medications within a visit are completed.

Client Observation Logs

This report lists all observations and notes logged by carers, including the time of the observation, the carer, and notes. It's useful for sharing with family members and evaluating care trends over time.

Care Delivery Trends

Get a weekly overview of your carers' performance with this report. It shows a list of all your carers in terms of clients visited, punctuality, tasks completed, observations made, medications administered, and notes left. Use this for objective performance evaluations and to drive improvements in care delivery.

Care Delivery by Carer

This weekly report breaks down care delivery metrics by individual carer, including hours and visits delivered, punctuality, tasks completed, observations made, and medications administered. Use it for individual performance reviews and targeted training.

Care Delivery by Client

Similar to the carer report, this weekly breakdown shows care delivery metrics for each individual client. Use it to check care delivery trends and identify if any clients are consistently receiving more or less than their scheduled care.

Care Management Trends

This weekly report provides metrics on the office team's performance, including how up-to-date their care plans are, medication monitoring, and alert responsiveness. Use it to set quality KPIs for your office team and ensure each member is monitoring and improving their area of care management.

Care Management by Client

Get a weekly report per client on how care plans (tasks) have been set up, how many have notes, and how often they've been updated. Share this with your task and alert management team to ensure they're constantly updating to be fully prepared for inspections.

Notes

This report provides a count of notes created across your agency, including a breakdown by type. Use it to get an overview of documentation practices across your agency and track trends in note-taking over time.

Scheduling and Matching reports

Client & Carer Rota

This forward-looking report shows all future scheduled visits in your agency. You can filter by individual name to drill down into specific rotas. It's perfect for sharing with care recipients or care professionals to provide visibility over upcoming schedules.

3 ECM Reports for Mobile Reported Times

These Electronic Call Monitoring (ECM) reports use reported check-in/check-out times from carers' mobile devices to show actual and delivered times. They're invaluable for understanding the consistency of check-in times and identifying reasons for forced check-ins at certain addresses.

Similar to the mobile reported times, these reports use invoice audited times as actual and delivered times. They're particularly useful for your finance team in confirming visits for payroll purposes.

Carer Details

This report provides a comprehensive overview of your care professionals, including their contact details and contract types. Use it to quickly access carer information and keep your records up to date.

Human Resources reports

Training Expiry

Stay on top of staff training with this report. It provides total visibility into all staff training and upcoming expiry dates, reducing the risk of non-compliance. Share this with your training team to ensure they're planning and fulfilling all necessary training requirements.

Covid Vaccination

This report gives you a quick overview of your staff's vaccination status, showing counts of fully vaccinated, partially vaccinated, boosted, unvaccinated, or unrecorded statuses. Use this when planning care visits to ensure the safety of both care professionals and care recipients.

Carer Absences

Keep track of your workforce availability with this report. It lists all requested carer absences, including the type of absence and its duration. This information is crucial for effective scheduling and visit planning.

Billing and Payroll reports

Pay Summary

Get an overview of gross pay balances for each pay run, including the split between working time, travel time, and mileage. This report is essential for managing your payroll effectively.

Revenue Summary

This report provides an overview of the amount invoiced and hours delivered in a given period. It's particularly useful for understanding your revenue streams and can be filtered by time period to match your invoice cycles.

Purchase Orders

Keep track of all purchase orders with this comprehensive report. It includes details such as client, payer, contract name, service type, and maximum hours per week. Use it to quickly view and filter purchase orders by various criteria.

Profit & Loss

Gain insights into your agency's financial health with this report. It provides an overview of estimated gross margin per client after payroll and invoicing have been run. You can adjust estimated payroll add-ons for National Insurance, holiday pay, and pension contributions to get a more accurate picture.

Xero Invoicing Template

This report provides a summary of visit details with financial information that can be downloaded, adjusted, and exported to Xero. It's perfect for agencies using Xero for their accounting needs.

Mileage

Track travel expenses with this report. It shows the total time spent travelling and distance travelled per staff member in a given period, broken down into commute time and distance, time and distance between visits, and distance travelled per hour of work.

Delivery and Incident reports

Concerns

Get a comprehensive breakdown of all concerns raised in your agency, such as incidents, accidents, skin integrity issues, and medication problems.
