The challenge: manual reports and limited visibility

Like many growing care providers, Ethica Care faced challenges in gathering meaningful insights from their care delivery data. They previously used another leading care management system, which required considerable manual effort to generate reports and provided limited visibility into important aspects of care quality. The team found themselves spending valuable time on administrative tasks rather than focusing on what mattered most —their clients.

At the heart of Birdie Analytics is the Q-Score - a unique dashboard that evaluates care quality using the provider's own data in line with CQC standards. The Q-Score calculates a monthly rating out of four, directly corresponding to CQC ratings from Inadequate to Outstanding, providing Ethica Care with a clear picture of their performance.

The team has embraced this data-driven approach into their daily operations, implementing weekly reviews and immediate actions based on Q-Score reports.

"At Birdie, we have regular meetings regarding the Q-Score," Alex explains. "The Q-Score allows us to see not just what carers write in their notes, but if they're writing adequately and covering the right things. It gives us a rating we can use to improve."

For instance, when Registered Manager Cheryl Marr noticed a slight decline in their alert responsiveness metrics, she used the weekly Q-Score data to focus on improving this area. "We're using that weekly data to ensure that figure is coming up, so that we are moving alerts and getting them actioned much more proactively," she notes. This targeted approach to quality improvement ensures client needs are addressed promptly, enhancing both safety and satisfaction.

Understanding and improving client wellbeing

Another powerful component of Birdie Analytics is the ability to track how clients are feeling emotionally and take proactive steps to enhance their wellbeing.

By using a custom mood dashboard to track client moods over time, Ethica Care can spot trends, identify concerns early, and take meaningful action to improve client wellbeing before small issues become bigger problems.

"We're really proud of our high Q-Score. We're using it to push us toward ‘Outstanding’. One thing we've worked on that's been really positive with the Q-Score is our detailed care logs. Every member of staff is making really good detailed notes along with recording the clients' moods," explains Cheryl.

Alex also shares a touching example of how the mood dashboard has made a real difference: "We received a weekly report from Birdie Analytics about a client who was sad. We sent our field care team to investigate and discovered they weren't going out in the community. This led us to arrange coffee morning breaks for the client – something we wouldn't have known about without this weekly report."
